When it comes to moving your data across to Rezi there are two options. Either you move your data or we move your dataThe best way to move your data is by manually entering your properties and contacts directly into your new Rezi software. It is faster, cheaper and ensures 100% data accuracy. However, you may have a large amount of data in which case you want to explore having a data move.

If you decide on a data move, and we have moved data from your provider before, then we can move your data in 3 weeks from receiving your data. But it is a 2-way process, so you will to dedicate someone in your agency to work with us throughout the move.

​Would it be better to manually enter my data?

Yes. Inputting your data manually will always give you the best result. An opportunity to start with spotless data is always a benefit and this option gives you access to Rezi right away without any data move costs. Most of our agents see the benefit of manually inputting “just the data they require” and always report back that they are pleased with the outcome.  

How long will it take to get up and running?

Opting to move your data yourselves means you can be up and running in a matter of days not weeks. Our onboarding team will give you plenty of tips and guidance along the way. We will provide you with a schedule and will require logos, branding and a list of your users. 


You can literally be live in no time at all so that you can focus on the important things -  selling your properties. 


Will I need to clean my data?

No. You do not need to clean or prepare your data, moving your data yourselves means you move just the data you need! You are in control. 

It really is the perfect opportunity to make sure your data is spotless in Rezi from the get go. 

How much will it cost?

There are no additional costs if you decide to move your own data. You will be saving around £1,500 (minimum) for 100% data accuracy. 

How accurate will my data be?

You are guaranteed 100% accuracy if you chose to enter your own data. We will guide you through the process, properties on the market first, vendors and buyers. We recommend you only enter active applicants and many of our agents see this as the perfect opportunity to touch base with their clients along the way. Win, win!

When should I give notice to my provider?

The sooner the better, but make sure you leave enough time to move your data. Some agents move their data in a matter of days, others prefer to keep both systems running simultaneously for a month to ensure they have all data they need and peace of mind. 

How do I ensure compliance with GDPR rules?

Moving to a new software provider is a great opportunity to clean up your data and helps to ensure compliance with GDPR rules on the storing and sharing of personal data. 


By manually entering data into Rezi you can focus on the data that is most valuable to you, such as live properties and contact information where vendors, buyers, landlords and tenants that have consented to receive marketing information from you. Your current software should have this information available to you so it’s simply a case of filtering the most important clients and manually transferring that data to Rezi.

How long should I hold personal data?

Manually entering information ensures that you are complying with your data privacy policy which states the amount of time that you will hold personal data and what you will do with that data. When you have transferred the data you want to Rezi, don’t forget to delete anything that is outside your policy from your old software system or ask your provider to delete it for you. If you have data that fits within the scope of your privacy policy but you do not want to transfer it to Rezi then ask your software provider to give you an extract of the data, but remember that the security of that data is your responsibility and it must be held in a secure way. We can advise you on the best way to deal with your data just ask our onboarding team.

​Is a data move right for me?

If you have a large amount of data, with multiple branches then yes, a data move could be the best option for you. We only recommend moving your data if you physically cannot move it yourselves as the process does require your involvement and can only guarantee 40% - 60% accuracy. You will need to give your data a thorough clean before the move, help us understand your data along the way and check your data thoroughly post move. 

Will you move all of my data?

If you chose a data move, we move just the last 24 months of your data. From our 20 years’ experience, there is no point in moving old unwanted data, it never gets used. We will move your current stock as priority, your properties on the market, related vendors, applicants, tenants, companies, viewings, offers and some notes. Secondary to this we move any other data that has been added or activated within the last 24 months. See our feature checklist for a detailed list of data we will move from your software provider.


Will it really only take 3 weeks to move?

Yes, if you have taken the time to clean and prepare your data beforehand.  We can move your data within 3 weeks  from the time we receive your clean data from your current provider. 


We will work with you and provide a schedule for you to work with, time is of the essence, so we are eager to move you as fast as possible.


Will I be charged for extracting my data from my provider?

Yes. Your current software provider may charge you for extracting your data into a movable format and sending it to us. We will require 2 extracts as a minimum (be mindful that some providers charge per extraction). We recommend you check this before committing to see if it is cost effective.  

How accurate will my data be?

We cannot guarantee 100%  data accuracy when moving data in bulk. We expect 40% - 60% accuracy but there may be some clean up to do post move. It really does depend whether you have taken the time to clean up your data before the move. The cleaner the data to start, the better the results. 

When should I give notice to my provider?

When opting for a data move, we advise that you keep your current software active until you go live with Rezi to give you time to clean, prepare and check your data. 

If you stick to the schedule you will be able to start using Rezi and close down your previous software in a timely fashion. 

Who should I nominate as project manager?

We will initially review your data and have questions to ask you like “Is it correct that you have 50 properties currently on the market?” and “does Mr Williamson live at 85 Bishopsgate Road?Only you know your data so you will need to allocate someone to be your data project manager to ensure your move is seamless. Make sure it is someone that knows your stock and your current software well. 


How do I clean my data?

If you decide on a data move, you will need to clean and prepare your data beforehand. This can be a great opportunity to clear out the old and start with the new! Take a look at the data clean checklist guide below to gain an understanding of what will be required. 

Have you moved data from my provider before?

If you would like to move data from a provider we have not worked with before, we will need some preparation time to investigate and quote for the work. Building the data move tools takes our data experts approximately  2 months. Once built we can move your data in 3 weeks. Our sales team will talk to you about the best options. 

What can go wrong with a data move?

Your data move will only be as good as the data you provide us. “Garbage in, garbage out” as the saying goes. If you are not able to commit the time to clean, prepare and check your data, don’t move it.  We are not able to fix errors after the data move - it is a once only occurrence. Something as simple as an address being added incorrectly before the move can cause an entire property to become corrupt and require re-entering from scratch. It can be as costly in your time, as it is for a data move so make sure you can invest in the preparation time before going ahead.

What if I can't commit to the schedule?

It is vital that your data is cleaned, prepared and checked in line with our schedule, our data consultants work to a tight timetable and time is of the essence! Your data will become outdated very fast and you are likely to be charged by your current provider for each new data extract. If you cannot commit to the agreed timescales, talk to us straight away as charges will apply for rescheduling your data move slots.

​Data clean Checklist

Cleaning your data is essential if you opt for a data move, here is a list of checks you will need to perform before your move.

Check all of your sales & lettings properties have all fields complete e.g. price, status, address, tenure, photos etc. 

3Check all of your sales properties have vendors and purchasers linked
4Check all of your lettings properties have landlords and tenants linked
5Check information is in the right fields e.g. address lines are in the correct fields
6 Check information is entered consistently e.g. telephone numbers are entered in the same format
7 Check applicants you wish to move are active
8Check all contacts have all fields complete e.g. name, address, telephone number
9Check appointments, viewings & offers are filled out correctly and linked to the associated properties and contacts
10Check that notes are in the correct fields
11Check photos, EPC images, PDFs are linked to properties
12Check that all viewings have linked negotiators, attendees, date, time and arrangements complete
